AI Document Extraction
Upload your docs. AI drafts the BOQ. You review and approve every line.
How it works
Instead of manually reading through job specs and scope documents and typing out every line item — let AI handle the grunt work.
Here's the flow:
- Upload your documents — text-based PDFs or paste in a text description
- AI reads and extracts — it identifies line items, quantities, units, and specifications from your docs
- Smart matching — extracted items are matched against your pricing list so prices auto-fill where possible
- You review everything — approve, edit, or reject each suggested item before it goes into your BOQ
What you can upload
AI works with a range of document types you'd typically receive from a client or builder:
- PDFs — job descriptions, scope of work, tender documents, specifications
- Text — paste in an email, brief, or job description directly
Note: Quotably currently extracts line items from text-based content only. Visual extraction from scanned plans or drawings is not yet supported.
You can upload multiple documents at once. AI will read across all of them to build a complete picture of the job.
You're always in control
This is the key thing — AI is the tool, you're the tradie. Every extracted item is a suggestion. You decide what makes it into the BOQ.
For each suggested line item, you can:
- Approve it — looks good, add it to the BOQ
- Edit it — tweak the description, quantity, or price
- Reject it — not relevant to this job, skip it
Nothing gets added to your BOQ without your explicit approval.
Pricing list matching
When AI extracts line items, it automatically checks them against your uploaded pricing lists. If it finds a match, the item code and your price auto-fill.
This means you get consistent pricing across all your quotes — no guesswork, no errors. Your rates, your rules.
Tip: The more complete your pricing list, the more AI can auto-match. Upload your full rate sheet in Settings → Pricing Lists to get the best results.
Train AI to quote your way
Every business quotes differently. Head to Settings → AI Settings to help AI understand your style:
- Business profile — tell AI about your trade, specialities, and how you like to quote
- Example quotes — upload up to 10 past quotes or BOQs so AI can learn your format and level of detail
- Building codes — enable compliance-aware extraction that flags relevant Australian building standards
The more context AI has, the better its suggestions. But remember — it's always a starting point. You make the final call.
